Client Receivables Inquiry
This routine enables the user to quickly view a list of paid and/or unpaid invoices for a specific client, with or without transaction detail, and in invoice or date order. This can be helpful while on the telephone with a client.
This routine interfaces with the Address Master. Enter the number corresponding with the Client Receivables Inquiry option, found on the On-Line Inquiry sub-menu, which displays the Address Master screen.
Display the customer for whom you wish to conduct an inquiry (if the ID is known, enter the ID followed by a period. If unknown, you may search by last name or company name). Next, execute the A/R INQUIRY function (enter X1 or XF to find the function number). Example: If X1 is used, enter the line number (7), if XF is used, enter the function number (X7).
The following prompts will appear:
ENTER THE ENTITY >
Enter an entity ID under which transactions were entered.
Next, a screen will appear with the following option line. Each option is described below. Screens with sample transactions can be found on the following pages (shown condensed).
(O=Open Invc,A=All Invc,D=by Date,I=by Invc,T=Trans by Date,???,LFC)
NOTE: After all of your desired options have been selected, just press RETURN to display the invoices according to the criteria given. You may select as many options as desired.
To accept the default options, just press RETURN. Default criteria may be defined through the Inquiry Defaults screen found on the General Set-Up sub-menu in Accounts Receivable .
O=OPEN INVOICES / A=ALL INVOICES / T=TRANSACTIONS BY DATE
Press O to display only Open Invoices (invoices with balances not equal to zero), OR press A to display All Invoices (includes invoices with balances equal to zero), OR press T to display Transactions as they occurred in date order (not listed against individual invoices).
Press D which prompts you for a beginning and ending range of dates for the inquiry. The beginning date defaults to the original date of Accounts Receivable history for this client, and the ending date defaults to the last date of A/R history for this client.
Press I which will list the invoices in numerical order.
Press ??? to search for invoices with a certain date or invoice string. The prompt will depend on the display functions selected.
Press the characters LFC (load first customer) which prompts you to enter the original client ID.

The most recent invoice according to the criteria given will display first (from the bottom of the screen and up). The following options may be executed once the invoices are displayed:
Enter the line number for which you wish to view Resolution information (how the debt was resolved). A sample screen is shown on the following page, using the example of entering line number 2 from the sample screen above. Payment Distribution information may be displayed from the Invoice Resolution screen (sample on next page).
F# and B#
To scroll forward enter F and the number of lines to scroll (F3).
To scroll backward enter B and the number of lines to scroll (B10).
To "trail" to a linked invoice, enter T and the line number corresponding with the invoice.
Press C and RETURN to change the criteria of the inquiry.
Press P and RETURN to print the information displayed on the screen to the printer of your choice. A sample A/R Inquiry printout can be found on the pages following.
Press A and RETURN to display the aging screen which ages the account according to the date entered.
Press D and RETURN to display the deposit inquiry screen.
Enter R and RETURN to display refunds if applicable.
EX and END
Enter EX to clear the screen, returning you to the Enter The Entity prompt. Enter END to exit the inquiry screen.
To view Invoice Resolution information (how the debt was resolved), enter the line number corresponding with the invoice, and detailed payment information will display (sample shown).
INVOICE RESOLUTION ENTER SELECTION /web/B#/EX)>
Options - Enter the line number for which you wish to view payment distribution information (described below), F and the number or lines to scroll Forward, B and the number of lines to scroll Backward, or EX to redisplay the screen without invoice resolution information.
To view Payment Distribution information, you must first display the payment transaction on the Invoice Resolution screen (described above). At the INVOICE RESOLUTION prompt, enter the line number corresponding with the payment for which you wish to view distribution information and press RETURN (sample shown).
CHECK DISTRIBUTION ENTER SELECTION (/web/EX)>
Options - Type EX to redisplay the Invoice Resolution screen, F and the number of lines to scroll forward, or B and the number of lines to scroll backward.
