Additional Client Information
This selection enables you to enter or view additional
information for a client. Various optional codes applicable to this client may be entered
in this screen, but must have already been defined. Term Codes, Tax Codes, Billing Codes,
and Statement Comment Codes are defined in General Set-Up from the A/R Main Menu.
1. Display the client record for which you want to view or enter additional information.
2. In some cases, the client screen will display in place if the notepad. If not, enter the appropriate X Function for Client Information (use X1 or XF to search from MODIFICATIONS).
3. The bottom portion of the Address Master entry screen will display as shown below.
4. To redisplay the Note Pad, enter the appropriate X Function.
Remember to File and Save the record (FI) if any entries or modifications are made.
MODIFICATIONS - (FI,EX,END,#,X#)
Enter the name of the Accounts Receivable contact, which will appear on A/R invoices.
Enter the ID of the salesman responsible for this client. If unknown, enter ??? and RETURN to search by name. Salesmen records should include a SMAN class code.
Enter the agreement terms established with this client, or enter ? and press the RETURN key to display term examples. Terms are defined through Add/Edit Term Codes on the General Set-Up Menu.
Enter the tax code applicable to this client. Tax codes are defined through Add/Edit Tax Codes on the General Set-Up sub-menu.
Enter the discount percentage applicable to this client. This discount will be in addition to any discounts applicable if the terms of payment are met.
Enter the credit limit amount for this client. You will be prompted when creating invoices when the limit is reached, but will be able to continue. Example: 1500
Enter the number corresponding with this field, then at the prompt COMPUTE PAYMENT HISTORY INFO (Y/N) enter Y if you wish to to update the clients history of the average number of days taken to pay. When the process is complete, the information will display and the cursor will return to the MODIFICATIONS prompt. Example: 44 H 52 C means that an average of 44 days were taken to pay history invoices, and for currently outstanding invoices, the average days is 52.
Enter the number corresponding with this field, then at the prompt COMPUTE PAYMENT HISTORY INFO (Y/N) enter Y if you wish to update the clients payment history for a particular invoice weight or balance. Enter N to compute current payments in regards to invoice weight.
Valid codes are: N = No statements are to be generated for this client, O = Open statements are to be generated, B = Balance Forward statements are to be generated
Enter Y if late charges can be assessed for this client. Enter N if finance charges are not to be assessed for this client.
Enter a Y (yes) to place the client on hold status. The word HOLD will flash on the screen when the client record is displayed. Enter N (no) to take the client off hold status. The client will automatically go on hold if an A/R balance exceeds the number of days past due that was set-up in the control file (not accessible by user contact SSI).
Comments and ID assignments are defined through Add/Edit Statement Comments. If no ID is entered here, the system will automatically print statement comments depending on the extent of the past due balance. Example: OVER.30 will be the ID used if the clients balance is over 30 days past due and there is no overriding ID entered in this field.
Enter the clients resale tax number if applicable.
Enter A to add lines to the shipping address. To edit existing lines, enter the number corresponding with the line you wish to edit. To delete a line enter D and the line number (D3). To view additional lines, scroll forward (F) or backward (B). Just press RETURN to redisplay the MODIFICATIONS prompt.
Entities defined through the system are automatically displayed. Billing Codes may be entered to coincide with each entity applicable to this address record. Space limitations allow only two entities to show at a time. You may scroll forward/backward in this field.
This optional field accepts a valid billing code, if desired. If a billing code is entered, Statement Ticklers will be generated based on the criteria defined through Add/Edit Billing Codes found on the General Set-Up sub-menu. Enter ??? to view/select from a list of valid billing codes.
